At Virtul Med, we highly value your time and our commitment to providing you with the best possible service. To ensure that we can continue to offer exceptional psychiatric services to all our clients, we have implemented a No Show and Cancellation Policy. This policy is designed to minimize disruptions in our schedule and accommodate as many clients as possible. Please take a moment to familiarize yourself with our policy outlined below:
Appointment Confirmation
After your appointment is confirmed, you will receive a confirmation message via email and text message. Please review this confirmation to ensure all the details are correct. You will also receive a reminder message 48 hours before your scheduled appointment.
Cancellation Notice
If you need to cancel or reschedule your appointment, we require that you provide us with at least 24 hours notice. This allows us to offer the appointment slot to another client who may be on our waiting list. You can cancel through your patient portal.
No Show
A "No Show" is when a client misses an appointment without canceling it at least 24 hours in advance or fails to show up at the scheduled time. In the event of a No Show you will be charged the full cash pay price of the missed appointment.
Payment
In the event of a No Show or a late cancellation (less than 24 hours in advance), your credit card on file will immediately be charged the full cash pay price of the missed appointment. All clients are required to keep a valid credit card or debit card on file at all times. Insurance does not cover no show fees. The full fee will be charged to the card on file.
Late Arrivals
We understand that unforeseen circumstances can sometimes cause you to enter your appointment late. In such cases, please notify us as soon as possible. While we will make every effort to accommodate your appointment, arriving more than 10 minutes late may require your appointment to be rescheduled. In this case the No Show Policy will apply and you will be charged the full cost of the missed appointment.
Exceptions
We recognize that emergencies and unforeseen situations can arise. If you have a genuine emergency or unavoidable situation that prevents you from giving us 24 hours' notice, please contact us as soon as possible to discuss your situation.
